This year’s conference will feature a new setup.
Please note that hotel bookings are not available through the EFRC or this platform. Attendees are responsible for booking their own accommodations. We have, however, negotiated a discount ("coupon code") for two recommended hotels. If you choose to stay at one of these hotels, you can use the coupon code to benefit from a reduced rate.
Language
The official language of the 14th EFRC Conference 2025 is English.
Certificate of Attendance
A “Certificate of Attendance” will be available for all delegates attending the EFRC Conference 2025.
Letter of confirmation/Payment receipt
A letter of confirmation/payment receipt will be sent by email (autmatically) once you have fully completed the registration and the related payment. Attendees must present this confirmation / payment receipt on request at the registration counter during the event as proof of their registration and payment.
Letter of Invitation
Individuals requiring an official “letter of invitation” can request one from the EFRC 2025 Conference Task Force (taskforce@recip.org) after they register and pay for the conference.
Visa Requirements
It is the sole responsibility of the attendee to take care of his / her visa requirements. Attendees who require an entry visa must allow sufficient time for the application procedure. Attendees should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. EFRC Conference Task Force will not directly contact embassies or consulates on behalf of visa applicants.
Insurance and Liability
It is recommended that participants maintain or obtain adequate cover for travel, health and accident insurance before they depart from their countries. The EFRC and the EFRC Conference Task Force cannot be held responsible for personal injuries, or loss of, or damage to, private property belonging to the conference participants and accompanying persons.
EFRC, venue and hotel are not responsible for either the partial or total non-execution of the contract in the event of accident, natural disaster (either threatened or actual) in war, curtailment or interruption of transportation facilities, threats or acts of terrorism, governmental travel or terrorism advisory, strikes, lock out, civil disturbance, the issue of a travel warning by the World Health Organization or any other cause beyond the parties’ control which prevents the hotel and/or venue from accommodating the clients of the event or if for the same reasons the event is cancelled.
The Organizers may at their sole discretion repay the Delegate Fee or Service Charge paid by the Delegate or Exhibitor, or part thereof, but shall be under no obligation to repay the whole or part of such Delegate fee or Service Charge, and shall be under no liability to the Delegate or Exhibitor in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the Delegate or Exhibitor, as the result of the happening of any such event.
Minimum age
Registration and/or admittance to the EFRC Conference 2025 shall be limited solely to participants who are 18 years of age or older, due to current health and safety regulations and legislation in effect. Any registration by anyone who is under 18 is unauthorized and in violation of these Terms and Conditions and will automatically result in the forfeit of their registration. You hereby accept that identification is to be provided to conference staff upon request. By registering to the conference or entering the conference you represent and warrant that you are 18 years of age or older, and that you agree to and to abide by all of the Terms and Conditions of this conference.
Cancellation policy
All cancellations must be made in writing to EFRC Conference Task Force: administration@recip.org
Fees are 50% refundable - if cancellation is submitted by email and acknowledged before July 31, 2025.
Fees are not refundable - starting August 01, 2025.
If you are not able to attend the conference and you are substituted by a colleague, an administrative fee of EUR 100.- will be charged.
After this date, cancellations will be refunded in the case of “Impossibility” of the conference only.
Impossibility: including but not limited to: acts of God; declared war in the country in which the Hotel is located; government regulations prohibiting travel to the location of the Event; terrorist attacks in the city in which Hotel is located; or curtailment of transportation either in the conference city.
If the conference is cancelled due to a valid impossibility, then upon written request, EFRC agrees to refund all advance payments without penalty to the Conference Sponsors and Exhibitors.
Delegates are fully liable for damages caused to the third parties and property. All delegates shall have valid, comprehensive third party liability insurance.
In case of no show, reduction of nights, early check out (based on property local time): 100% will be charged
